Event Guidelines
Before you choose to use our facility, please read the following guidelines:
- Proposals are accepted year-round; however, please note that we plan approximately three months in advance to reflect our decision to align with the seasons. If you would like to offer a workshop or class during a particular time of the year, then we refer you to the following guide:
- Facilitators who are a part of the Shakti community and/or who have donated either time, talent, or treasure are given priority. If your primary objective is to sell to the Shakti community, then you are not a good fit for our space.
- Our community honors diversity, compassion, kindness, and respect. We do not discriminate. We ask our facilitators to do the same.
- Shakti in the Mountains is a smoke-free, alcohol-free, and drug-free establishment.
- To help keep our facility costs lower, we ask that you clean up the space after using it. All dishes used need to be washed. Tables and countertops need to be wiped down. If debris is dropped, then floors need to be swept. Basically, we ask that you leave the space ready for the next event.
- With few exceptions, Shakti will handle registration. Credit card transaction fees and other management costs will be additional to the cost of using the facility.
- Shakti in the Mountains does not refund participants their money UNLESS the event is canceled.
- One Shakti in the Mountains’ representative may attend this event at no charge.
- No reservation is finalized until you have been contacted and the application is approved/confirmed.
- Repeat classes/workshops will require a confirmation from Shakti, reflecting new date and time.
- All requests are subject to approval and may be denied without reason.
Facility Use
Shakti in the Mountains offers seminars, workshops, and other events that reflect and contribute to our mission and vision. Our facilitators are people who have developed a relationship with our community and understand the importance of fostering an environment which is inclusive, respectful, and safe.
The first step to any event at Shakti in the Mountains is to read through the guidelines above and submit a facility application. Kim will review the application and then contact you. If the proposal is accepted, then the next step is to pay a non-refundable $75 deposit. Once the deposit is paid in full, the event registration page will be created and submitted to you, the facilitator, for review.
Upon completion of the event, the additional charges will be subtracted from the event revenue. The remaining balance will be given to the facilitator typically within a week, sometimes longer, of the event. (Eventbrite does not immediately deposit the event revenue.)
The following rate applies:
- In addition to the non-refundable deposit, there is a $25 fee which allows for up to two (2) hours in the facility.
- For each additional hour, there is a $25 charge.
- Credit card transaction fees will be subtracted from the total revenue.
The facility use fees covers the cost of:
- paying an administrative assistant to:
– create an event page on the Shakit website
– create and link a registration page with online payment function
– create and schedule social media posts across two platforms
– respond to both facilitator and participant questions - making a contribution to the overhead costs of maintaining the building, e.g. utilities, insurance, rent, cleaning, lawn care, etc…
The facility use fees are what allow the following amenities to exist and be accessible to all facilitators:
- Access to wi-fi (for the presenter(s) only)
- Access to the kitchen and the dishes, including hot tea & water
- Access to the entire downstairs and the lawn
- Access to 3, 6-foot long tables and approximately 30 folding chairs
- Access to dry erase board and screen
Policies
Cancellation Policy
If an event is canceled, then Shakti in the Mountains will refund everyone who registered. Shakti does not refund participants who do not show or cancel. We ask facilitators to uphold this policy.
Event Promotion Policy
Shakti creates social media posts, newsletter announcements, and a website registration page for Shakti-sponsored events. These posts are created and then scheduled for publishing. Shakti does not coordinate real-time posting.
We do give the facilitator the links to the registration page. Shakti encourages facilitators to share social media posts as well as to personally invite people to the event. Most events are promoted in the newsletter approximately 3 weeks before the start of the event. We ask facilitators to review the registration page as well as the image(s) used and submit any edits that they may have.
Event Registration Policy
In order to better support you, our facilitators, as well as to provide quality customer service, Shakti in the Mountains handles all event registration. Please be advised that online registration incurs additional costs (credit card transaction fees, data input and management) which will be passed along to the facilitator. Before crafting a facility use agreement, these costs and expectations will be discussed so each facilitator can make an informed decision about event prices.
